Key Responsibilities
- Answer phone calls, emails, and walk-in inquiries professionally
- Manage job tracking, client estimates, and project updates
- Process material orders and work with suppliers for timely delivery
- Create and track purchase orders and receipts
- Generate and send customer invoices; monitor outstanding payments
- Maintain job files, customer data, and internal documentation
- Schedule meetings, deliveries, and on-site service appointments
- Communicate between the shop team and customers on timelines or changes
- Handle administrative support tasks for ownership and shop supervisor
Qualifications & Skills
- 1–3 years of experience in an office or shop administrative role
- Familiarity with QuickBooks or similar accounting/invoicing systems
- Strong organization and multi-tasking abilities
- Professional communication skills (verbal and written)
- Experience with spreadsheets, email platforms, and filing systems
- Detail-oriented and dependable
- Bonus: Experience working in a fabrication, construction, or service-based business
Work Environment
- Office-based with occasional walk-throughs on the shop floor
- Must be comfortable coordinating with both tradespeople and customers
- Supports a fast-moving team environment with tight project deadlines
